PTS is committed to ensuring that all client data that is disclosed to PTS by its clients is kept confidential and secure. Privacy and confidentiality are key elements of the transcription services offered by PTS and PTS is dedicated to ensuring the strength and integrity of its privacy and security procedures.

Client Data Privacy

PTS’ clients in the medical, legal, finance and other industries disclose personal information, which may include sensitive information such as health information, about individuals to whom PTS’ clients are providing services, to PTS for the purpose of PTS transcribing such information from audio files into electronic text files.

PTS understands the importance to its clients of protecting all data disclosed to PTS and, in particular sensitive personal information such as health information, and consequently PTS has put in place a range of safeguards to protect such information.

PTS complies with applicable Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) and other relevant privacy laws with respect to all personal information disclosed to PTS. More information on the APPs can be found at:

Client Data Confidentiality

All client data provided to PTS by clients for the purpose of obtaining transcription services is treated in the strictest confidence. PTS enters into non-disclosure agreements with all personnel who are given access to client data, before they commence work. These agreements comply with the APPs and impose strict obligations of confidentiality and ensure that all personnel handling client data are familiar with PTS’ privacy policy and obligations to its clients.

PTS also has stringent work practice procedures in place in order to retain effective control over all client data disclosed to PTS. These measures include the deletion of all client data from personal computers used by PTS’ personnel after the client data has been transcribed and the conduct of regular audits.

Client Data Security

PTS has established a technical infrastructure that is intended to ensure a high level of data security. PTS uses access control procedures, encryption, network firewalls and physical security to protect all personal information it holds.

PTS holds all client data, including audio files and transcribed text files, on its highly secure web-based server hosted by AC3 and housed at GovDC, a NSW State Government endorsed and accredited data centre at Silverwater, Sydney. All client data is encrypted via an HTTPS 256-bit SSL connection using the SSL digital certificate services of GeoTrust and access is protected by system user logins and passwords. Our web-based server resides alongside several NSW Government agency servers, where the stored client data as well as client data transmitted to and from our web-based server is well protected from external threats.

PTS’ clients are advised to delete their data from PTS’ secure web server once their transcribed data is downloaded from the server. Any remaining client data is regularly deleted by PTS after it is held for a period of time for quality assurance and invoicing purposes.
